The journey

How it works, step by step

At Chatunda you are not a number. We set up your digital assistant, test it with hundreds of questions and only deliver once you have approved it. Below you see exactly what happens, why, and what it gives you. So you know what you are getting into.

From sign-up to digital assistant

Fifteen steps. Each step says who is up and how long it takes. Your subscription only starts once the digital assistant is live.

  1. You sign up

At chatunda.com/aanmelden: company name, website, what your website is built with, Chamber of Commerce (KvK) number and e-mail address. Ticking add-ons or adding a message is possible, but not required yet. You receive a confirmation right away. Done in two minutes.

  2. We review your sign-up

We check whether your business fits: a Dutch business with a KvK number, a reachable website, and not a sector we do not build digital assistants for. So you know before you pay anything that we can get to work for you. You hear from us within one working day.

  3. You pay the set-up fee

You receive the set-up invoice of € 349 including VAT with a payment link for iDEAL/Wero. This is a one-off payment, you do not give a mandate yet. What this amount covers is explained on the pricing page. Whenever suits you, the invoice stays valid for thirty days.

  4. You share what you already have

Right after your payment you receive the invitation to the questionnaire with your own password. You choose your language and get two questions first: may we analyse your website, and do you have an FAQ, shipping terms or another information document we may read (up to three files)? Both optional, both worth it: anything in there you will not have to type later. The website analysis happens with your consent, after a check that the website really is yours. Then you fill in your business details and choose two things: the language your assistant answers in (Dutch, English or both, separate from the language you fill in the questionnaire in) and which extras you want (Leave a message, which is included, and the add-ons Contact plus, Live agent, Order status and Product info). Those choices steer the rest, because the questionnaire and the verification round are tailored to them. Then comes a short introduction: what do you sell, who are your customers, what do they ask most. From your answers, your website and your documents we draw up a profile of your business ("This is how we see your business"), which you read and correct. Every correction here saves dozens of questions later that do not fit you. Count on a quarter of an hour.

  5. We compose your questionnaire

There is no standard list. Based on your profile our AI works out which questions belong to your business, including the tricky situations your customers may run into. A jeweller gets questions about ring sizes and certificates of authenticity, a bicycle repairer gets very different ones. That adds up to a few hundred, on purpose: every situation we cover now is one your digital assistant will not have to say it does not know later. If you chose the website analysis, we also take the colours and font from your site and build a tailored design for your chat window in advance. This takes up to about half an hour, you can leave the window open or come back later.

  6. You fill in, we fill in along

You start with the basics: about twenty key questions that our AI picks for you after reading your website, your documents and the introduction. The AI then fills in as much of the rest as it can, with the source shown, and suggests an answer for questions about how you work. You check those with Agree or Edit, and then do the rest topic by topic. At the top you always see how many questions are still open. Fix by Chatunda puts every answer, including what you type yourself, in the same clear format for your digital assistant, keywords are enough. You may stop in between and continue where you were. At the end a verification round hunts for promises that cannot be kept and for contradictions, and recommends an extension when an answer needs one. Next, based on your answers, we suggest what you do not offer, such as paying later or collection, each time with what is possible. That way your digital assistant says so honestly instead of "I have no information about that". You confirm, adjust or remove each line. Then you pick the design of your chat window from more than sixty designs, with your own colour, typeface and text size, with the design tailored to your website as the first suggestion. Then you submit the questionnaire. All at your own pace, most business owners finish in a few hours.

  7. We build and test your digital assistant

From your answers we build a knowledge base of thousands of question-and-answer pairs, put your digital assistant on its own server in the EU (in Germany by default) and ask it hundreds of test questions: ordinary ones, difficult ones, and questions it must not answer. Every miss is fixed, and we test again until it is right. That is done within five working days of submitting your questionnaire.

  8. You test the demo

You get your own demo page with a password. There you test the digital assistant the way your customers would use it: ask the questions you really get, including the difficult ones, and listen to the tone. If an answer is wrong, report it via the improvement field on the page or by e-mail. We also see a thumbs down under an answer, but only an improvement point pauses your test period. Fix by Chatunda makes your report clear before you send it. You have fourteen days per invitation, with a reminder on day 5, 10 and 13. If we hear nothing after that, we consider the digital assistant approved, because your server is already running.

  9. We process your improvement points

We process every improvement point, test the digital assistant again and send you a new invitation describing what was changed. Each round is done within two working days. There are at most six revision rounds, though they are rarely all needed: the test rounds of step 7 catch most of it already.

  10. You approve

Happy with it? Then click Approve on the demo page, or e-mail us that you agree. You approve, not us. If you are still not satisfied after the last revision round, you choose: stop, and you get half of the set-up fee back, or go live after all and keep improving together. Even after going live, improving the answers remains our top priority: in Mijn Chatunda you see under Open questions what it could not answer, with a proposal where the answer is already on your website, and you send us your answer with one click as a knowledge base request.

  11. You pay the first month

After your approval you receive the invoice for your first subscription month: € 199 including VAT, plus the add-ons you chose. You pay via iDEAL/Wero and with that payment you give the mandate for the following months. Every following invoice reaches you at least three days before the direct debit.

  12. Your digital assistant goes live

Within 24 hours of your payment the digital assistant is ready for your website. You receive one line of code to place on your site, with our help if you like, and a text for your privacy statement. You also receive an invitation to Mijn Chatunda, where you review the conversations of your digital assistant. Your subscription starts on the day it goes live, not before.

  13. We stay with you

In Mijn Chatunda you see under Open questions what the digital assistant did not know, and on Monday you get a short e-mail when there are new ones. Every month a report on the conversations, with how they ended. You pass on ordinary changes to your answers as a knowledge base request, and we make them within one working day. 20 requests per month are in the price, above that each further block of 20 costs € 10. And every month we test your digital assistant again with the questions visitors actually asked. And that stays that way for as long as you are a customer.

  14. Your third month is at no cost

If you remain a customer after two paid months, the basic subscription of € 199 is at no cost in month three. Add-ons you chose are charged as usual that month. After that the subscription simply continues, cancellable monthly.

  15. Something changes? So do we

New prices, a different shipping policy, a temporary promotion: one e-mail and your digital assistant knows. A major overhaul of your website? Then we build a new knowledge base, a one-off € 149. No digital assistant needed for a while, for example out of season? Then you switch on sleep mode in Mijn Chatunda, for € 19 per month, and everything stays saved. You ask, we arrange it.
